How to do a pharmacy stocktake without closing the shop

Stocktaking is often dreaded: long hours, a closed shop, unexplained gaps. Here's a simple method to do it fast, accurately, and without stopping business.

01Why stocktaking feels scary (but shouldn't)

Many pharmacists put off stocktaking year after year. They picture the shop closed all Sunday, the whole team counting boxes, and unexplained gaps at the end. In reality, a well-prepared count happens in small steps, without ever pulling the shutter down.

A stocktake isn't admin busywork. It's when you finally know what you really own: the value of your stock, the products sitting idle, the ones that are missing, and the cash tied up on your shelves.

02Preparation is half the job

A fast count starts long before counting. Tidy the shelves, group identical references, pull the expired items and update prices. Stock in order counts twice as fast.

03Cycle counting beats a full count

A full count (everything at once) usually forces you to close. Cycle counting handles one zone at a time, continuously, across the year: expensive fast-movers more often, the rest once or twice a year. You never close and gaps show up early.

Count the 20% of references that make 80% of your revenue first. That's where real losses hide and where control pays off most.

04What to do with discrepancies

A gap isn't necessarily theft. It's often an unrecorded sale, a mis-entered delivery, forgotten breakage or an untracked return. The point isn't to blame anyone but to find the cause so it doesn't happen again.

  • Recurring negative gap on one product: check how sales and returns are entered.
  • Positive gap: a delivery was probably counted twice.
  • Gap on expired items: your FIFO rotation isn't being respected.
